Vision & Purpose
Woodside School is embarking on a journey to integrate artificial intelligence thoughtfully and strategically across WES. This is not about AI for the sake of AI. This is about organizational change, about reclaiming capacity, reinvesting it in what matters most, and building the internal know-how to sustain that change long after any external partner leaves.

The AI Task Force exists to ensure this journey is guided by diverse perspectives, grounded in evidence, and accountable to our community. We believe that when educators have the right tools and the right support, they can do extraordinary work. Our role is to build the conditions that make that possible.

The Task Force will focus on the following strategic priority: Systematic AI Adoption focused on Student Growth Enablement and Staff Capacity. All recommendations and implementation decisions will be connected back to this priority.

Our district's strategic plan identifies the following priorities that directly connect to this AI initiative:
  • Process over product: We focus on building capacity and understanding, not chasing the latest tool.
  • Empowerment over compliance: Our goal is to equip people with the tools and guidance to succeed, supported by a clear framework of responsible use and transparent oversight.
  • Critical thinking first: AI is a tool that requires human judgment. We develop that judgment together.
  • Student voice matters: The people most affected by AI in education deserve a seat at the table.
  • Evidence over assumptions: We measure what we do, share what we learn, and adjust based on data.
  • Differentiated Instruction and Support: Tailoring education to meet individual student needs.
  • Whole Child Approach: Focus on social-emotional learning, wellness, and citizenship.
  • Academic Rigor: Maintaining high standards and a challenging curriculum.
  • Community Partnerships: Collaborating with external organizations to support students and families.
Member Roles & Responsibilities
The Task Force brings together voices from across Woodside School to ensure that AI implementation reflects the full range of perspectives in our community. Every member contributes unique expertise, and every perspective strengthens our decisions.
  • Attend scheduled meetings and contribute actively to discussions
  • Serve as a liaison between the Task Force and your professional community
  • Bring real experiences, questions, and concerns from your daily work
  • Review materials and provide feedback between meetings when requested
  • Champion a culture of curiosity and openness about AI across the organization

Meeting Cadence & Structure
Consistent meeting rhythms are essential for momentum. The Task Force meets monthly, virtually, with additional working sessions as needed during key deliverable windows.
  • Check-in (5 min): Brief round-robin on what each member is seeing or hearing about AI in their area
  • Context share (10 min): New information, articles, community feedback, or student voice data
  • Working session (35 min): Focused work on current domain deliverables with Edapt facilitation
  • Action items & next steps (10 min): Clear assignments with owners and deadlines
  • All meetings are transcribed and uploaded to the Edapt partner portal for continuity and context
  • Decisions are documented with rationale, not just outcomes
  • Dissenting views are welcomed and recorded as they strengthen our process
  • Action items are tracked and reviewed at the start of each meeting
Accountability & Context Sharing
The Task Force is accountable not just for meeting attendance, but for actively building the organizational context that makes AI implementation successful. Edapt's platform becomes more useful when it has rich context about your district's journey.
Notes and documentation approach: AI-transcribed and manual notes.
The first student voice survey is planned for 2026-01-05. This baseline data will inform the Task Force's early priorities and provide a benchmark for measuring progress.
  • All Task Force meetings are transcribed (using AI-assisted transcription tools)
  • Transcripts are uploaded to the Edapt partner portal within 48 hours of each meeting
  • Key decisions, questions, and action items are highlighted in meeting summaries
  • Task Force members conduct at least one student voice activity per quarter
  • Student voice data (surveys, focus group summaries) is shared with the full Task Force
  • Relevant district documents are uploaded to the partner portal
  • Changes in district priorities, staffing, or technology landscape are communicated promptly
  • Wins, challenges, and surprises are shared openly to strengthen collective learning
Long-Term Vision Alignment
This Task Force is not a temporary committee. It is the governance structure that will guide Woodside School's relationship with AI for years to come. The work we do in Year 1 builds the foundation, but the systems and rhythms we establish will outlast any single initiative.
This charter is directly informed by Woodside School's strategic plan. The following strategic themes have been identified as key connection points for AI implementation:
  • Differentiated Instruction and Support: Tailoring education to meet individual student needs.
  • Whole Child Program: Focus on social-emotional learning, wellness, and citizenship.
  • Academic Rigor: Maintaining high standards and a challenging curriculum.
  • Community Partnerships: Collaborating with external organizations to support students and families.
  • AI implementation decisions are mapped to specific strategic goals and priorities
  • The Task Force reports progress using the 4 Core Scores framework: Hours Saved, Dollars Reinvested, Work-Life Balance, and Student Growth Enablement
  • Quarterly reviews assess whether AI initiatives are advancing or hindering strategic objectives
  • Internal champions are identified and developed to carry AI literacy forward independently
  • Knowledge transfer from external partners (Edapt) to internal leaders is tracked and measured
  • By Month 7, champion-led professional learning sessions begin, reducing dependence on external facilitation
  • The Task Force transitions from implementation to continuous improvement by the end of Year 1
Communication Protocol
Effective AI implementation requires transparent communication at every level. The Task Force is responsible for ensuring that findings, decisions, and recommendations reach the right audiences in the right format.
  • Monthly summary updates shared with all staff via existing communication channels
  • Quarterly presentations to the school board on progress, metrics, and recommendations
  • Regular updates to building administrators for site-level awareness and support
  • Parent/guardian updates at least twice annually on AI policies and implementation progress
  • Student-facing communication about expectations, resources, and opportunities
  • Regular context uploads through the partner portal ensure Edapt support stays relevant
  • Bi-weekly check-ins with assigned Edapt team member for ongoing strategic support
  • All external communications reviewed by the Task Force before release
